Practical information for exhibitors and sponsors

Exhibition Times:

Moving in:
Sunday, August 21: 9.00-21.00 (Gate 2A) and Monday, August 22: 7.00-9.00 (Gate 2A and Kistamässan main entrance)

There will not be any restaurants open at the exhibition centre on Sunday. Coffee, water, fruit and sandwiches as long as they last will be served. The closest restaurants are at the Kista Centrum shopping mall. 

Exhibition Opening Times:
Monday August 22: 9.00-17.30 – 16.30-17.30 Drinks & Mingle Awards Ceremony – 17.30 mingle dinner until approx. 20.00
Tuesday August 23: 8.00-17.00
Wednesday August 24: 8.00-17.00
Thursday August 25: 8.00-17.00
Friday August 26: 8.00-14.30

Moving out:

Friday, August 26 after the coffee break at 10.30: ”quiet move out” – breaking down of stands and carrying out materials is allowed. Please note – no trucks or trolleys since the seminars have not finished yet. After 14.00 your empty packaging can be delivered to your stands and the disassembly of larger stands can commence. The moving out period finishes at 20.00. (Gate 2A)

 

Empty Packaging:

If you have a lot of empty packaging that you want to be stored safely, this needs to be ordered by Workman Event. There is also the possibility to store some smaller packaging in an area of the Exhibition Hall (without security). Contact the goods entrance for instructions.

Your Stand:

Stand packages include back walls and a 1 m partitioning wall to neighbouring stand at a
depth of 2 meters or a 2 m partitioning wall at a depth of 3 meters, electricity socket 2000 w/10 amp, WIFI, black carpet, table 180x60 cm, 2 chairs and spotlights with long arm (number depending on stand package). Please note that the partitioning wall always is 1 m shorter than the depth of the stand.

If you have ordered ”space only” an electricity socket 2000 w/10 amp is included.

If you are not planning to use all the furniture that is part of your package, please let us know so that we don't deliver items to your stand that you don't need. Please email anna.weilemar@travekoscandinavia.se

Swedish Surgical Week Örebro 2023:

The local organization from Örebro invites all exhibitors to a presentation of the concept for next year’s Surgical Week. Note Wednesday August 24 15.00-15.30 in your calendars. In Mid-August an invitation will be sent out to you. The meeting will be held in one of Kistamässans meeting rooms so that as many of you as possible will be able to attend.
 

Market your Participation:

Don’t forget to inform your customer network in all your different channels that you are a part of the Swedish Surgical Week well ahead of the event. Let them know which news you are presenting and why not try to pre-book meetings on your stand? If you have really big news don’t forget to send press releases to Dagens Medicin, Läkartidningen and Läkemedelsvärlden apart from to Svensk Kirurgi. Lunch and Coffee:

Lunch and coffee is included for all exhibitors. Coffee is served in the Exhibition Hall. Exhibitor lunch is served in the Entrance Hall 30 mins before the delegates come out for lunch. Monday 11.30 and Tuesday-Thursday 11.15. On Friday lunch bags are offered from 11.30 in the Entrance Hall. 
 

Special Dietary Requirements:

If any of your onsite staff has any special food requirements or allergies we ask you to complete this Excel sheet and email to us asap: anna.weilemar@travekoscandinavia.se Please do this by August 12.
 

Exhibitor Passes:

Please see your Order Confirmation or email from Traveko for how many exhibitor passes you have access to. Should you wish to order further passes you can do so at 2500 SEK excl VAT per pass by contacting anna.weilemar@travekoscandinavia.se

All exhibitors must register and collect their passes on arrival at Kistamässan, this can be done at the Traveko desk in the exhibition hall. Passes should be worn visibly during the entire congress. Exhibitors registering in advance will receive passes with your company name. When registering onsite you will receive passes which only say ”Exhibitor”.

From Tuesday, August 23, you will find Traveko in the Service Center in the Entrance Hall.


Booking tickets to the banquet at Berns Salonger:

The banquet is held on Wednesday, August 24 at 19.00-23.00 at Berns in central Stockholm. 
Price: 800 SEK excl VAT per ticket
Please email anna.weilemar@travekoscandinavia.se your order. Tickets can be collected from the Traveko desk at Kistamässan. There are a few tickets left, please place your order before August 12.

 

Tickets to the mingle dinner/Get Together after the first exhibition day:

Tickets to the Get Together at 18.30 on Monday, August 22 are free of charge, but we need to know how many people are coming, so that we can order the right amount of food etc. A light dinner and drinks will be served. Please email anna.weilemar@travekoscandinavia.se with your required number of tickets. They can then be picked up from the Traveko desk in the exhibition hall. You cannot order more tickets than the number of exhibitor passes you have. Please order your tickets by August 12.
